Now accepting pilot schools for 2026 · Built for conversation-first career guidance

The counselor that gives every student real clarity.

pathfinder uses guided conversations — not multiple-choice tests — to build a deep profile of every student's aptitudes, values, and aspirations. Then turns that into actionable direction.

Counselors walk into advising sessions already knowing where the student is, what's pulling them, and what to ask next.

Privacy-First · FERPA-Compliant

Student data is not a product here.

Unlike some competing tools, pathfinder doesn't run a college advertising network. We have no financial incentive to share or sell student data — our only revenue is your school subscription.

We never sell student data to colleges or advertisers
No college lead marketplace — ever (unless a student explicitly opts in)
Signed Data Processing Agreement (DPA) with every school
FERPA-compliant by design — full audit log, scoped access
Students can request deletion of their data at any time
How some competitors handle student data
Sell access to student profiles to college recruiting networks
Display college advertising inside the student-facing tool
No DPA or data sharing agreement provided by default
Student career interest data shared with "partner" institutions
Difficult or impossible opt-out process for students
Why pathfinder

Built differently from the ground up.

We didn't bolt a chatbot onto a quiz. We built the entire tool around the conversation. Here's what that means in practice.

Conversation-first, not bolted-on
pathfinder's entire experience is a conversation. Competitors added a chatbot wrapper to a quiz they built in 2005. We built the conversation first — everything else follows from it.
Career-first, not college-first
Most tools are built around the college application workflow. pathfinder starts earlier and deeper: who is this student, what lights them up, what kind of work would give their life meaning. Then college planning gets easier.
Privacy-first, not data-selling
Our only revenue is your school subscription. We have no college advertising network, no recruiting marketplace, no financial incentive to share your students' data. Their career interests are not a product here.
Transparent. Per-student.

pathfinder is a complete conversation-first career counseling platform — built for counselors, designed for students, ready for your district's compliance requirements.

The Conversation Engine

The only platform built around a conversation — not bolted onto a quiz.

pathfinder's entire experience is a conversation. Where other tools bolted a chatbot onto a 2005-era quiz, we built the conversation first and everything else follows from it.

1
Adaptive 25–30 min guided conversation
Open-ended questions that adapt to each student's answers. Probes deeper when it matters. No multiple choice. No right or wrong answers.
2
16 career cluster scoring
Every session produces alignment scores across all 16 national career clusters — from Health Sciences to STEM to Arts to Business.
3
BLS labor market data integrated
Every suggested path includes Bureau of Labor Statistics data — real wages, job growth projections, and typical education requirements.
4
Full English + Spanish bilingual
The entire conversation runs natively in either language — not translated tooltips. Set per student, no IT configuration required.
Sample Conversation
When you imagine yourself doing really meaningful work someday, what does that look like? What kinds of problems are you trying to solve?
I want to help people who can't advocate for themselves — like kids in the foster system or people with disabilities. I want to change how the system treats them, not just help one person at a time.
That's a strong systems-thinking orientation paired with deep empathy. What subjects in school feel most connected to that kind of work for you?
✦ Profile generates after session
Career clusters, major recommendations, coursework suggestions, and a counselor brief — ready within minutes.
Counselor Productivity

Built for 471 students. Works for 200.

Every feature is designed to reduce counselor preparation time and increase the depth of advising conversations.

Auto-generated counselor brief
Each student's profile includes a private counselor insight — behind-the-scenes context the student doesn't see. Walk into advising meetings already prepared, not gathering basic information.
Kiosk mode for shared computers
No student email? No problem. Class session mode generates PIN rosters — students pick their name and enter a PIN on any shared lab computer. No accounts required.
Live proctor mode
Monitor live session progress during class. See which students are in progress, completed, or haven't started. Pause a session and resume it later.
Full result visibility control
Choose when students see results: immediately, top cluster only, after your review, or not at all. You control the counseling conversation — not the algorithm.
Parent view with secure tokens
Send parents a 30-day secure link to their student's profile — no login required. Automatically expires. Can be revoked at any time. FERPA-compliant access logging.
Multi-role staff access
Four distinct roles: school admin, principal, counselor, and academic advisor. Each role has appropriately scoped access — principals see district data, advisors see coursework.
Longitudinal Clarity Tracking

The only tool that tracks how a student's career clarity evolves over four years.

Every pathfinder assessment generates a Clarity Score™ — a 0–100 confidence metric showing how strongly a student's career direction has crystallized. Repeat the assessment each year and watch the trajectory develop.

Year-over-year Clarity Score comparison across 9th, 10th, 11th, and 12th grade
Visual clarity journey dashboard — show growth to parents and administrators
Career cluster stability tracking — see if interests are solidifying or shifting
District-level cohort analytics — see how entire grade levels are progressing
The data moat
pathfinder is building the first longitudinal dataset of high school student career clarity development, tied to BLS labor market outcomes. Schools that start now are building four years of insight.

Differentiator 1
AI-native vs. AI-bolted-on

pathfinder was built around conversation from day one. Every data structure, every profile, every counselor insight flows from the AI session. Competitors added a chatbot wrapper over a quiz infrastructure built years ago. The foundation matters — ours is AI all the way down.

Differentiator 2
Career-first vs. college-first

Most tools are structured around the college application workflow — where to apply, how to apply, which college fits your scores. pathfinder starts earlier and deeper: who is this student, what lights them up, what kind of work would give their life meaning. Students with strong career direction make better college choices.

Differentiator 3
Privacy as business model

Our only revenue is your school subscription. We have no college advertising network, no recruiting marketplace, and no financial incentive to share student career interest data. Some tools charge schools a subscription and still monetize student data through college lead programs. That's not our model — ever.

See it for yourself.

A 30-minute demo will show you more than any comparison table. Bring your IT questions, your compliance checklist, and your counselors.

Research Foundation

Built on validated science. Measured with real data.

pathfinder's model is grounded in established career development research and feeds real BLS labor market data back to students.

ASCA National Data

The American School Counselor Association reports the average counselor-to-student ratio is 471:1 — nearly double the recommended 250:1. pathfinder was built specifically for this reality. The session replaces 45 minutes of information-gathering per student.

NACAC Persistence Research

National research on college persistence consistently shows that students with clearer career direction before college enrollment are more likely to persist through Year 2. pathfinder's Clarity Score™ is designed to be a leading indicator of that persistence.

BLS Occupational Data

Every suggested path in a student's profile is linked to Bureau of Labor Statistics Occupational Outlook Handbook data — median wages, employment growth projections, and typical education requirements. Students see real labor market context alongside their results.

The Clarity Score™

A measurable signal of career direction — tracked across four years.

Every pathfinder assessment produces a Clarity Score™ — a 0–100 confidence metric showing how strongly a student's career interests have crystallized. Administered each year from 9th through 12th grade, the score creates a trajectory counselors, parents, and administrators can act on.

0–30 Exploring — Student interests are broad and unformed. Good starting point for 9th grade. Counselor focus: widen exposure, try more things.
31–60 Developing — Student has emerging interests in 2–3 clusters. Counselor focus: deepen WBL experiences, align coursework to emerging direction.
61–80 Solidifying — Student has a clear primary cluster and secondary. Counselor focus: college research, major shortlist, senior year course selection.
81–100 Clear — Student has strong, consistent career direction. Counselor focus: execution, application strategy, dual enrollment, early career experiences.

Counselor Efficiency

Time saved is counseling delivered.

With 471 students per counselor, every minute matters. pathfinder returns time to the counselor — time they can use for actual human connection.

45 min
Saved per advising session
The auto-generated counselor brief replaces 45 minutes of manual student record review before each advising meeting. Counselors read a brief instead of building context from scratch.
1 class period
To profile an entire cohort
One 25–30 minute class session. Entire grade level assessed. Profiles ready within minutes. No scheduling coordination, no multi-week rollout, no homework completion issues.
0 hours
Of manual CCR data entry
Career cluster, Clarity Score, WBL hours, and completion status all export automatically with one click. No spreadsheet work, no manual compilation for state reporting.
Longitudinal Research In Progress

We're tracking the four-year clarity journey.

Our Story

We built the guidance we never had.

pathfinder was born from two simple truths: every student deserves someone in their corner, and where you grow up shouldn't determine how far you go.

Ericka grew up attending a small rural high school — one with a tight-knit community but stretched thin on funding and staff. There were no dedicated career counselors. No one to sit down with her and talk about what was possible, no one to help her map her interests to a future she could actually plan for.

It wasn't until she met students from a well-funded school in a nearby district that the gap became impossible to ignore. Those students had dedicated advisors, college-level courses starting freshman year, and structured four-year plans guiding them toward graduation and beyond. They were already earning college credit while Ericka's school didn't offer those same opportunities until senior year — and even then, only through a single competitive program.

The difference wasn't talent or ambition. It was access. And that realization never left her.

“I kept thinking — what if someone had just told me what was possible? How different would things have been?”

Ericka Poole, CEO & Co-Founder

AJ knew one thing in high school: he wanted to work with computers. But his school offered exactly one computer class — and it was about learning to type and use Microsoft Office. That was it.

When he went to his teachers and advisors looking for guidance on technology careers, the answer was always the same: “That's too much for us.” Not because they didn't care, but because they simply didn't have the knowledge or resources to help. No one in his world could tell him the difference between software engineering, cybersecurity, data science, or IT — let alone help him figure out which one matched who he was.

He went to college knowing he wanted to do “something with computers” but nothing more specific than that. It was a starting point built on passion but missing direction — and he knew he wasn't the only one.

When Ericka and AJ got to college, they saw the same pattern everywhere they looked. Friends who came in pre-med were switching to business. Engineering majors were pivoting to communications. By sophomore year, it felt like everyone they knew was starting over — not because they lacked drive, but because no one had ever helped them look inward first.

They watched classmates graduate and enter careers that had nothing to do with what they'd studied. People were opening businesses, changing industries entirely, searching for something that felt like theirs. The degree got them through the door — but not necessarily the right one.

80%
of college students change their major at least once
National Center for Education Statistics

That number confirmed what they already felt: the problem wasn't college. It was everything that came before college. Students were arriving at the most expensive decision of their lives without ever being asked the most basic question: What do you actually care about?

And it wasn't just about college. The same gap existed for students considering trades, the military, apprenticeships, or going straight into the workforce. Every path requires self-knowledge — and almost no one was helping students build it.

Ericka brought a background in psychology — an understanding of how people think, develop, and discover identity. AJ brought deep technical expertise and a builder's instinct. Together, they created pathfinder: a platform that combines the best of both worlds.

pathfinder isn't a multiple-choice career quiz. It's a guided conversation with Aless, a counselor persona designed to help students think deeply, reflect honestly, and discover something real about themselves. There's no pressure, no right answers, no grades — just a space where students can explore who they are and where that might lead.

The goal was never to build another data tool for institutions to check a box. pathfinder is for students — so they can walk into their future with clarity, not confusion. So they stick with what they choose. So they don't have to start over.

But it also gives counselors and school staff something they've never had: a real profile of each student's personality, goals, and aspirations — built before the one-on-one meeting even begins. In a world where the average counselor manages hundreds of students, pathfinder makes every conversation count.

Ericka & AJ Poole — Co-Founders of pathfinder

Every student deserves to know what's possible.

AI Career Counselor
Tell me about a time you were working on something and completely lost track of time. What were you doing?
I was building a website for my mom's bakery. I spent like 5 hours on it and didn't even notice.
That's really interesting — what part of building it pulled you in the most? Was it the visual design, solving the technical problems, or something else?
Honestly both? I liked making it look good but I also liked figuring out how to make things work.
That combination — the creative eye and the problem-solving drive — shows up in a few career paths. Let me ask you something different…

Clarity Grades Guide
Understanding pathfinder's Clarity Score™ and how to help students improve

What is the Clarity Score™?

The Clarity Score (0–100) measures how focused and confident a student's career direction signal is, based on their AI assessment conversation. It reflects not just what a student is interested in, but how clearly they can articulate and align those interests with potential paths. A higher score means a more crystallized sense of direction — lower scores are completely normal, especially in 9th and 10th grade.

The Counselor's Role

Clarity Scores are a starting point for conversation, not a final verdict. Use them to identify which students need more career exploration experiences and which are ready for deeper college planning conversations.

Score Tiers Explained

0–29
Exploring

The student is in early discovery mode with many open interests and no dominant career pattern yet. This is completely healthy in Grade 9 and even Grade 10. The student needs broader exposure, not narrowing.

Counselor action: Assign interest inventories, career fairs, job shadows across diverse fields. Focus on curiosity, not commitment.
30–49
Emerging

Patterns are beginning to form — the student has some clearer interests but significant scatter remains. They may show enthusiasm in 2–3 clusters but haven't yet connected those to specific paths.

Counselor action: Help the student compare their top 2–3 clusters. Encourage conversations about what work environments they imagine for themselves. Informational interviews are powerful here.
50–64
Developing

Clear interest areas are taking shape, though the student may still be choosing between 2–3 viable paths. Their conversation shows intentionality — they're thinking beyond "I like this" to "I could see myself doing this."

Counselor action: Begin exploring specific paths, programs, and career directions within their top clusters. Discuss coursework alignment. A second assessment after some focused exploration experiences can meaningfully raise this score.
65–79
Focusing

Strong signal in 1–2 career clusters. The student has a real sense of direction and is beginning to build a career identity. This is the target range for Grade 11 students.

Counselor action: Start connecting interests to programs of study, career paths, and post-secondary options. Begin application or enrollment conversations. Validate and deepen the existing direction rather than broadening.
80–89
Clear

The student has well-defined interests and high confidence in their direction. They can articulate why they want a certain path, not just that they do. College essays and application themes will feel authentic.

Counselor action: Focus on college fit — programs, campus culture, financial aid. Help the student craft their narrative. Connect them to relevant extracurriculars, internships, or dual enrollment.
90–100
Crystallized

Exceptional clarity — the student has highly specific career goals and can articulate their reasoning in depth. This is rare and represents the pinnacle of what pathfinder aims to help students achieve over time.

Counselor action: Celebrate and document their journey. Focus on execution: specific schools, specific programs, letters of recommendation strategy, and scholarship alignment.

Grade-Level Benchmarks

Grade
Target Range
What to Expect
9th
25 – 45
Exploring is expected and healthy. Variety of interests is a strength, not a weakness. Focus on broad exposure.
10th
40 – 60
Patterns should start emerging. A second assessment after career-exploration activities often shows a meaningful jump.
11th
55 – 75
Meaningful focus is expected. Students in this range can start serious college research. Below 50 in 11th grade = priority for additional counseling.
12th
70+
Ready for authentic college application conversations. Strong personal statement material. Scores below 65 entering senior year need targeted support.
Going Into Senior Year
75+ — Solid foundation for college applications. The student can write authentic essays and choose schools with a clear purpose.
80+ — Counselor confidence level. This student knows their direction and can advocate for themselves in interviews and essays.
Below 65 — Priority for intervention. Schedule a focused counseling session, assign 1–2 career exploration activities before the application season begins, and consider a repeat assessment.

How to Help Students Raise Their Score

Broaden Exposure First
For students below 50, assign career fairs, job shadows, or a "day in the life" research project before their next assessment. New experiences generate new signal.
Informational Interviews
One 30-minute conversation with a professional in a field of interest can clarify a student's direction more than a semester of classroom instruction.
Peak Experience Reflection
Ask students: "When have you felt most alive or energized — in school or out?" Connecting those moments to career clusters is one of the fastest ways to build clarity.
Course Alignment Check
Review the student's recommended coursework from their pathfinder profile. Taking one relevant elective before a repeat assessment helps anchor interests to concrete experiences.
Repeat the Assessment
pathfinder assessments are most powerful when taken at least twice. A second assessment after real-world exploration often yields a 10–20 point Clarity Score jump.
Use pathfinder Recommendations
On each student's profile, click "Generate Recommendations" to get Claude-powered, personalized advice for that specific student based on their assessment history.

Meet Aless — Your AI Career Counselor
Aless conducts every student assessment. Understanding how she works helps you get the most out of her results.
Who Aless is: Aless is an AI Career Counselor trained on ASCA (American School Counselor Association) frameworks, motivational interviewing, appreciative inquiry, and narrative counseling — the same evidence-based techniques your best colleagues use. She's warm, unhurried, and genuinely curious about every student.

What Aless does in an assessment

Aless conducts a 25–30 minute one-on-one career exploration conversation with each student. She never fills out a form — she has a real conversation, asks follow-up questions, and listens deeply. After the conversation, a Clarity Score and career profile are automatically generated.

The 5-part session structure

1
Absorption (~5 min)What completely engages this student? School, hobbies, anything. Aless starts broad and follows the student's energy.
2
Thinking Style (~5 min)Analytical vs. relational, solo vs. collaborative, logic vs. intuition. How does this student naturally process the world?
3
Future Vision (~5 min)Where does the student picture themselves working and living? What does a good work day look like?
4
Work Style & Values (~5 min)Environment preferences, what matters most in a career, what they couldn't tolerate.
5
Aspirations & Concerns (~5 min)What excites them about their future — and what worries them. Aless holds this space with warmth, not urgency.

Grade-level adaptation

Aless automatically adjusts her approach based on each student's grade:

9th
Broad exploration. Scattered interests are healthy. Aless celebrates curiosity, never pushes for direction.
10th
Patterns starting to form. Aless gently connects themes across interests without naming specific paths.
11th
Signals should be sharpening. Aless helps the student articulate what they've been circling and builds confidence.
12th
Clarity and confidence are critical. Aless distills, not expands. She helps the student tell their story with specificity.

First assessment vs. returning students

First time
Aless introduces herself, explains what the conversation is (not a test, no right answers), and opens with a warm question about what they love doing.
Returning student
Aless references their past clarity trajectory, top career clusters, and themes. She opens with a personalized growth check-in — never a cold start.

Language support

Aless conducts assessments in English or Spanish. Once a language is selected, Aless stays in that language for the entire conversation — she will not switch mid-session.

School students
Counselors set a default language per student. Students can also self-select English or Spanish on the access code page before starting. The student's choice takes precedence.
Individual assessments
Direct assessment users choose their language on the dashboard before starting. The full conversation, prompts, and interface adapt to the selected language.

What Aless intentionally does not do

No career suggestions. Aless never names specific careers, paths, majors, or job titles during the conversation. This is intentional — her job is to surface what's already inside the student, not steer them. The career clusters and profile she generates come from the student's own words, not from her suggestions. That space is yours to fill in your follow-up conversation.

Customizing Aless for your cohort

When creating an assessment, the Aless tab lets you tune how she conducts conversations for that specific cohort. Settings apply to all students in the assessment.

Tone
Standard (default), Supportive (extra affirming, slower pacing), Concise (efficient, fewer follow-ups), Analytical (logic-driven framing)
Focus
Balanced (default), Academic, Career, Creative, STEM — directs which areas Aless spends more time exploring
Depth / Pacing
Standard (25–30 min), Thorough (35–40 min, more follow-ups), Quick (15–20 min, for timed blocks)
Context Note
A free-text note injected directly into Aless's context — e.g. "These are first-generation students" or "STEM magnet school." Max 300 characters.

Wellness Signals (opt-in)

When Wellness Signals is enabled in the Aless tab of an assessment, Aless weaves engagement and orientation questions naturally into the conversation. These are NOT clinical screening instruments — they're conversation-level markers that help surface students who may benefit from a counselor check-in.

1
Part 1 (Absorption)"How easy has it been to get interested in new things lately?" — engagement proxy
3
Part 3 (Future Vision)"When you think about your future, what comes up first — excitement or worry?" — anxiety/orientation signal
5
Part 5 (Aspirations & Concerns)"Do you feel like people around you understand what you're going through?" (isolation) and "How much energy do you have for things outside school?" (energy/withdrawal)

After the conversation, Aless generates a wellness score (0–100), individual signal indicators (future orientation, interest/engagement, anxiety, energy, social connection — each rated green/yellow/red with evidence), and a wellness summary written for the counselor. All wellness data is counselor-only — students never see it.

Soft handoff: If Aless notices a pattern of sustained low mood or isolation during the conversation (not a crisis — that triggers the safety flag system), she may warmly suggest the student talk to their school counselor. She never diagnoses, labels, or scores what she notices in front of the student.

Your role after Aless

Aless does the groundwork — you do the advising. When a student sits down with you after their assessment, you already know their interests, thinking style, values, and concerns. Your conversation can go deeper faster. That's the partnership.

Counselor Workflows
How to use pathfinder data in your day-to-day counseling practice.

Understanding Student Data

The Clarity Score (0–100) measures how focused and confident a student's career direction signal is. A higher score means a more crystallized sense of direction — lower scores are normal, especially in 9th and 10th grade.

Want the full breakdown? The Clarity Grades Guide in your sidebar covers all 6 score tiers (Exploring → Crystallized), grade-level benchmarks, and counselor action steps for each range.

Career Clusters

Career clusters are the top interest categories that emerged from the student's conversation — for example, STEM, Arts & Design, Business, Health Sciences, or Education. Each cluster has a score (0–100) reflecting how strongly it resonated. The top 3–5 clusters appear on the student's profile. These are derived entirely from the student's own words, not from a multiple-choice inventory.

Keywords & Themes

The specific words and concepts the student used most during the conversation — captured verbatim. These are the raw material of their career narrative. Pay attention to words they repeated or said with energy — those are the clearest signals.

Reading a Student Profile

1
Open StudentsIn the sidebar, click Students. Find the student and click their name.
2
Review the profile cardYou'll see their Clarity Score, top career clusters with scores, and keywords. Below that: summary narrative and recommended next steps.
3
View the conversation transcriptClick "View Transcript" in the right-column score card on any profile to read Aless's full conversation with the student verbatim.
4
Generate pathfinder recommendationsClick "Generate Recommendations" on any profile to get personalized counselor action steps for that specific student based on their history.

Wellness Score & Indicators

When Wellness Signals is enabled for an assessment, the student profile includes three additional counselor-only fields:

Wellness Score (0–100)
Overall engagement and orientation signal. 70+ = green (no concerns), 40–69 = yellow (some signals), below 40 = red (needs attention). Grade-adjusted — 9th graders naturally score lower.
Wellness Indicators
Five signal types — future orientation, interest & engagement, anxiety, energy & motivation, social connection — each rated green/yellow/red with a brief evidence quote from the conversation.
Wellness Summary
A 2–3 sentence narrative written for the counselor about the student's emotional state, engagement level, and social connectedness. Not a diagnosis — a pattern summary to help you know what to explore.

Response Quality & Effort Scores

Two additional counselor-only scores appear on each student profile. Generated by Aless at the end of the assessment and never visible to students or parents.

Response Quality (0–100)
How specific, concrete, and self-aware were the student's answers? High scores reflect named experiences, real activities, and genuine reflection. Low scores reflect generic or surface-level responses.
Effort Score (0–100)
How thoroughly did the student engage? High scores mean they expanded beyond the question, volunteered context, and participated actively. Low scores reflect one-sentence answers and deflection.
Score thresholds: 70+ = Strong (green), 40–69 = Moderate (amber), below 40 = Low (gray). When both scores fall below 50, a prominent "Review Transcript" button appears.

Creating an assessment and assigning students

1
Create a new assessmentGo to Assessments and click "+ Create Assessment." The modal has five tabs: In-Exam, Post-Exam, Access & Timing, Aless, and Students.
2
Configure In-Exam settingsChoose a UI mode (Full, Conversation, or Custom). Toggle whether students see the progress tracker (Part 1 of 5), career cluster bars, draft major matches, and an elapsed timer during the assessment.
3
Configure Post-Exam settingsChoose a Results Release mode (Immediate, Top Cluster Only, None, or Counselor Release). Toggle PDF download, auto-email results to students, and add optional post-assessment instructions. Under Student Results Visibility, choose which profile sections students can see: narrative, keywords, clusters, clarity score, paths, and courses.
4
Select studentsClick the "Students" tab. By default, all students in your roster are assigned. Toggle off "Assign all students" to select specific students using the search and grade filter.
5
Access codes are auto-generatedWhen students are assigned, pathfinder automatically generates a unique 6-character access code for any student who does not already have one.
6
Assign more students laterOpen an assessment's detail page and click "+ Assign Students" to add additional students after creation.

Inviting students to take an assessment

1
Click "Invite" on the Students pageEach student row has an Invite button. Click it to open the invite modal showing the student's access code, assessment status, and email.
2
Share the access codeCopy the code to give it verbally, on a handout, or via your school's LMS. Students enter it at the pathfinder login screen.
3
Or email the studentIf the student has an email on file, click "Send Email" to send a branded email with their access code and a link to pathfinder.
4
Invite from the assessment detail pageOpen any assessment and use the per-row "Invite" button to email individual students, or click "Invite All" in the toolbar to send invites to all not-started students at once.
5
Batch invites"Invite All" sends emails only to students with status "Not Started" who have both an email and access code on file. Students already in progress or completed are skipped.
No access code? If a student hasn't been assigned to an assessment yet, the invite modal offers a link to generate an access code manually. Assigning them to an assessment via the Assessments page is the recommended path.

Post-assessment workflow

1
Student completes assessment (~25–30 min)Aless concludes the conversation and the system automatically generates the career profile — this takes about 60 seconds. Students see a progress indicator while their profile generates.
2
Student sees results based on your settingsDepending on the Results Release mode: Immediate shows the full profile, Top Cluster Only shows just the #1 cluster, None shows a completion message only, and Counselor Release holds results until you approve. If auto-email is on, the student receives their results by email. Post-assessment instructions appear as a card on the results screen. Students can also view a full transcript of their conversation with Aless and download it as a text file. Students can sign out from the results page.
3
Students can re-enter their access code to view resultsAfter signing out, students can return to pathfinder and enter their access code again to see their completed profile — no need to retake the assessment.
4
You review the profileOpen Students → find the student. Review their Clarity Score, top clusters, and keywords before your meeting — not during.
5
Generate pathfinder recommendations (optional)Click "Generate Recommendations" for personalized action steps you can bring into the conversation.
6
Meet with the studentYou already know the terrain — use your time to go deeper, not to gather basic info Aless already collected.
Best practice: Review the profile and read at least the first and last few exchanges of the transcript before your meeting. The opening shows what the student was excited to share; the closing often contains their biggest aspiration or concern.

Marking assessments as reviewed

When you open a completed student profile, click Mark as Reviewed to confirm you have reviewed the assessment. An optional notes field lets you add counselor-specific observations. Once confirmed:

  • The review timestamp and your name are recorded for the audit trail
  • The session moves from "Pending Review" on the dashboard to "Reviewed"
  • Review is a one-way action — once marked, it cannot be undone from the portal
Per-assessment, not per-student: Review status is tied to each individual assessment, not the student's lifetime. If a student completes a new assessment in a later semester, the "Mark as Reviewed" button becomes active again for that new assessment — even if previous assessments were already reviewed.

Review history

Each student's profile and detail pages display a Review History log showing all past reviews across assessments. The log includes the assessment name, review date, which counselor performed the review, and any notes. This gives you a clear audit trail of review activity for each student over time.

Review activity in Reports

The Reports page includes a Reviews Completed stat card and a My Review Activity log showing your recent reviews with student names, assessment titles, dates, and notes. Click "Show All Counselors" to see the full school-wide review log. Administrators and principals also see a Review Activity by Counselor breakdown showing each counselor's monthly and total review counts.

Assessment completion time

The Reports Overview page includes an Avg. Completion Time stat card showing the average duration students take to finish an assessment, along with a Avg. Completion Time by Grade breakdown in the right column. Sessions over 4 hours are excluded as outliers (student likely left the tab open). The Custom Report also includes a Duration column you can add to any filtered export.

Dashboard: Pending Review

The Pending Review panel on your dashboard shows students whose latest completed assessment has not yet been reviewed. It displays 10 students per page with pagination controls. Click See All to view the full list in the All Scores page. Each row shows the student name, grade, completion date, and clarity score.

Sorting and filtering tables

All data tables across the portal support clickable column headers for sorting. Click any column header to sort ascending; click again to sort descending. A small arrow indicator shows the current sort direction. Tables with search bars and filter dropdowns let you narrow results by name, status, grade, or other relevant fields.

Viewing clarity scores in an assessment

Open any assessment under Assessments in the sidebar to see a student roster with individual Clarity Scores. Students who haven't completed the profile yet show "—". Click View Profile → to open the full profile for any completed student.

All Scores — school-wide clarity view

Assessments → All Scores in the sidebar shows every completed assessment record across all students in one filterable table. Use it to:

  • Filter by student name, grade level, assessment, or clarity tier (High / Mid / Low)
  • Compare clarity across grade levels at a glance
  • Identify students who completed an assessment but scored low — without opening each assessment individually

The Avg. Clarity Score by Grade card on the Dashboard is calculated directly from these individual scores, so it updates in real time as more students complete assessments.

Acting on a low Clarity Score (<50)

Low scores are not a problem — they're an invitation. In 9th grade, a score below 50 is expected. In 11th grade, it's a signal to prioritize this student.

  • Assign broader career exposure: job shadows, career fairs, informational interviews
  • Ask: "When have you felt most energized — in school or outside?" Connect those moments to clusters
  • Encourage a second assessment after 4–6 weeks of new experiences — scores often jump 10–20 points
  • Use the Clarity Grades Guide in the sidebar for tier-specific counselor action steps

When both Quality and Effort are low (<50)

When a student scores below 50 on both Response Quality and Effort, Aless had limited material to work with. The career profile may reflect the AI's best inference rather than the student's genuine signal — treat it as a starting point, not a conclusion.

  • Click "Review Transcript" on the profile to read exactly what the student said — this is the ground truth
  • Common causes: rushed session, test-taking distraction, language barriers, or genuine uncertainty
  • Consider a brief check-in before scheduling a re-assessment
  • A re-assessment after a casual career conversation often yields significantly higher engagement scores

Alerts & Wellness

The Alerts & Wellness page (sidebar → Alerts & Wellness) displays all safety flags and wellness signals in a single sortable table. Use the Tier and Status dropdown filters to narrow the view, and click any column header to sort. Click a row to expand details, then use the Resolve or View Student buttons.

Critical
Safety flags for self-harm language, threats of harm to others, or mental health crisis. These require immediate counselor attention and a structured resolution including risk assessment, parent contact, and documented actions.
Needs Attention
Safety flags for emotional distress, bullying, or substance abuse, plus wellness signals scoring below 40 (persistent low energy, withdrawal, disengagement). Resolution requires documenting actions taken.
Advisory
Safety flags for profanity or policy violations, plus wellness signals scoring 40–69 (moderate anxiety, mild disengagement). Worth monitoring — simplified resolution form.

The resolution workflow tracks actions taken, risk assessment (for Critical/Needs Attention), follow-up scheduling, parent contact, and referrals. Items move through statuses: open → in progress → monitoring → resolved. Use the Status filter to review completed items.

You can also view a student's wellness data and safety flags from their profile page by clicking the Alerts & Wellness button in the header.

Not a clinical tool. Wellness signals are engagement and orientation markers derived from conversation — they are not clinical screenings. A low wellness score means Aless noticed patterns worth exploring, not that a student has a diagnosis. Use it as a conversation starter, not a conclusion.

Acting on a high Clarity Score (>80)

A high score means the student has clear direction and can articulate it. Your job shifts from exploration to execution.

  • Connect interests to programs of study, career paths, and post-secondary options (college, trades, military, apprenticeships, or ministry)
  • Help them build their application or enrollment narrative — their pathfinder profile is authentic material for any path
  • Align extracurriculars, dual enrollment, and internship opportunities to their top cluster
  • Validate and deepen — don't re-open exploration they've already done

CCR Report

The College & Career Readiness (CCR) Report aggregates your school's assessment data into a format districts recognize. It covers:

  • Percentage of students assessed by grade level
  • School-wide Clarity Score distribution
  • Top career clusters across the student population
  • Students identified for additional career support (score <50)

Access it from the sidebar under CCR Report. Export to PDF or share directly with your district coordinator.

Custom Report — build your own student exports

The Custom Report page (sidebar → Reports → Custom Report) lets you build filtered student reports with exactly the columns you need. Use it to pull data for IEP meetings, department reviews, grant reporting, or parent conferences.

Filters
Grade level, career cluster, clarity score range (min/max), assessment status, and safety flag presence. Combine any filters to narrow your data set.
Column Selector
Choose which columns to include: Name, Grade, Top Cluster, All Cluster Scores, Majors, Coursework, Keywords, Clarity Score, Status, Completed Date, Duration, Safety Flags, or Counselor Insight.
1
Set your filtersChoose grade levels, cluster, clarity range, and status. Leave a filter blank to include all values.
2
Select columnsCheck the columns you want in your report. All columns are selected by default.
3
GenerateClick "Generate Report" to preview results in a table. A result count appears above the table.
4
Export or PrintClick "Export CSV" to download the report as a spreadsheet-ready file, or "Print" to open a print-friendly view.

Print & Export across the portal

Print and Export CSV buttons are available on key data pages throughout the portal. When you print, the sidebar and action buttons are automatically hidden so only the content appears on the page.

  • All Scores — Print the full scores table or export as CSV
  • Assessment Detail — Print the student roster for a specific assessment or export as CSV
  • Student Profile — Print the full profile (clusters, keywords, narrative, and recommendations)
  • Reports Overview — Print the school-wide summary dashboard
  • CCR Report — Export the compliance report as CSV
  • Custom Report — Print or export your filtered report as CSV

My Work — your filterable student queue

The My Work page gives counselors a single, sortable table of every student and their current assessment status. No setup required — it reads directly from your school's assessment and safety data.

At the top, summary chips show counts for each status. Click any chip to quick-filter the table to that status.

Flags — students with unresolved safety flags (shown as a badge in the Flag column)
Ready to Review — completed assessments you haven't reviewed yet
In Progress — students whose assessment is currently underway
Not Started — students who haven't begun their assessment
Reviewed — assessments you've already reviewed

Use the search bar to find a student by name, or filter by grade or status. Click any column header to sort. The table paginates at 25 students per page.

Principals and School Admins see a Staff Workload Overview instead of the counselor table. This view shows school-wide aggregate stats (unresolved flags, ready to review, in progress, not started) plus a Counselor Workloads section with per-counselor cards showing how many assessments each staff member has reviewed and how many are waiting in the shared queue.

Safety Alerts — student wellbeing during assessments

Aless monitors every student message for concerning content during the assessment. If she detects anything, she responds with appropriate support (including crisis resources like 988 and Crisis Text Line: text HOME to 741741) and immediately flags the counseling team. Safety flags appear on the Alerts & Wellness table alongside wellness signals, filterable by tier and status.

Critical
Self-harm, threats of harm to others, mental health crisis. Triggers immediate email. Resolution requires risk assessment, parent contact, and documented actions.
Needs Attention
Distress, bullying, substance abuse flags + wellness scores below 40. Resolution requires documenting actions taken.
Advisory
Profanity, policy violations + wellness scores 40–69. Simplified resolution form.
1
Alert receivedIf Critical: you receive an email immediately with the student's name and the flagged message. The dashboard shows a red banner. The sidebar shows a badge count.
2
Review on the tableOpen the Alerts & Wellness page. Filter by tier or status, then click any row to expand details — flagged content, wellness indicators, or evidence quotes.
3
Follow up and resolveClick Resolve to open the resolution form. Document actions taken, risk assessment (for Critical items), follow-up plans, and parent contact. Items move through statuses: In Progress → Monitoring → Resolved.
Aless's response during the assessment: When a Critical flag is triggered, Aless responds with a warm, supportive message that includes crisis resources (988 / Crisis Text Line). The assessment continues — Aless does not pause or stop the session. The flag is completely invisible to the student.

Staff Messaging — secure internal communication

The Messages page (sidebar) lets school staff communicate securely within pathfinder — without sharing sensitive information over email or text.

  • Direct messages: 1:1 conversations between any two staff members
  • Group channels: Create a named channel for a team (e.g., "9th Grade Counselors", "All Staff") and add members
  • Student cards: Attach a student's profile card directly in a message — the recipient sees the student's name, grade, Clarity Score, and top cluster, and can click to open the full profile
  • Unread badges: The sidebar shows a badge count for unread messages, updated every 30 seconds
Data privacy: Conversations are visible only to channel members within your school. No students or external parties can access staff messages. All data is stored in your school's pathfinder account.

District-Wide Reporting District Only

Schools on the District plan see a "District" section in the sidebar with two additional pages: the District Dashboard and Year-over-Year comparison reports.

1
District DashboardAggregate KPIs (total students, profiles completed, average clarity score, school count) across all schools in the district. Below: a school comparison table showing per-school stats, a career cluster distribution chart, and a clarity score histogram.
2
Year-over-Year ReportSelect assessment terms to compare side-by-side. See clarity trend bars, grade-level breakdowns with delta indicators, and a Cluster Shift section with its own start/end term selectors for comparing how career interest distributions changed between any two terms. Export to CSV or print.
3
Cross-school visibilityDistrict staff automatically see data from all schools in their district. Individual school counselors continue to see only their own school's data.

SIS Integration Setup District Only

District plan schools can configure a Student Information System (SIS) connection in Settings. This feature is currently a demo preview — vendor partnership agreements with PowerSchool and Infinite Campus are in progress.

1
Open SettingsNavigate to Administration → Settings. The SIS Integration card appears at the bottom of the page for District plan schools.
2
Select a providerChoose PowerSchool or Infinite Campus from the dropdown. Configuration fields for the provider's API credentials will appear.
3
Test and syncClick "Test Connection" to verify credentials, then "Sync Now" to initiate a student roster sync. The sync modal shows real-time progress and a summary of new, updated, and matched records.
Note: SIS deep integration requires vendor partnership agreements that are currently in progress. The demo simulation shows the full workflow that will be available once agreements are finalized. CSV roster import remains the recommended method for production use today.

School Year Management

pathfinder tracks academic years so that student data, assessments, and reports are organized by school year. School admins manage year transitions from Settings.

Starting a New School Year

When your current school year is ending, a notification banner will appear prompting you to begin the new year. You can also start it any time from Settings.

1
Open SettingsNavigate to Administration → Settings. The School Year card at the top shows your current year and terms.
2
Click "Start New Year"This opens a 4-step wizard that walks you through the year transition.
3
Review & ConfigureReview your current year summary, then configure the new year's dates and terms. You can optionally enable a Summer term.
4
Promote StudentsReview each student's promotion action: Promote (advance one grade), Graduate (12th graders), Retain (stay at current grade), Transfer Out, or Withdraw. Defaults are pre-set based on grade level.
5
ConfirmReview the summary, check the confirmation box, and complete the rollover. Student grades are updated, and graduated students are archived.

Viewing Past Year Data

After completing a rollover, all staff can view historical data by clicking the year label in the sidebar and selecting a past year. A banner will indicate you are viewing archived data. Switch back by clicking "Switch to current year" in the banner.

Summer Term

Summer term is optional. When enabled during the new year setup, assessments taken during summer dates are bucketed separately in reports. Students remain enrolled in the same academic year during summer — no special handling is needed.

Important: Grade promotions and graduations cannot be undone as a batch. However, individual student records can always be edited afterward if corrections are needed.
Frequently Asked Questions
Common questions from counselors and school staff.
Can students see their own results?

Yes. Students can view their career profile, Clarity Score, and a full transcript of their conversation with Aless in the student portal after their assessment is complete. They can also download the transcript as a text file. They cannot see other students' data.

How long does an assessment take?

Most assessments take 25–30 minutes for a complete session. Students who give longer, richer answers may take slightly longer — that depth produces better results.

What if a student stops mid-assessment?

Progress is saved automatically. The student can return to the same session and pick up where they left off. Incomplete sessions don't generate a profile until the conversation is finished.

Is student data private and FERPA-compliant?

Yes. Student data is only visible to authorized staff at your school. pathfinder does not share student data with third parties. All data is stored securely and in compliance with FERPA.

Can I read the full conversation Aless had with a student?

Yes. Open any student profile and click "View Transcript" in the right-column score card. The full conversation is preserved verbatim. The button becomes a prominent "Review Transcript" call-to-action when both the Response Quality and Effort scores are low.

What languages does Aless support?

Aless supports English and Spanish. Language preference is set per student in their profile settings. Spanish-speaking students get a fully native Spanish conversation — not a translation.

How often should students take assessments?

At minimum, once per year. Many counselors run assessments at the start of each school year so they have updated data at the beginning of counseling season. Repeat assessments after career-exploration activities (job shadows, internships) are especially valuable — Aless uses the history to run a growth check-in.

Does pathfinder support students with IEPs or accessibility needs?

Yes. You can enable simplified language mode for any student in their settings. This instructs Aless to use a Grade 6–8 reading level throughout the conversation — shorter sentences, common vocabulary, no jargon.

How do I get help or report an issue?

Email us at support@mypathfinderedu.com or visit Get Support in the sidebar. We respond within one business day. For urgent issues affecting an active session, note "URGENT" in the subject line.

What happens when Aless detects a safety concern?

Aless responds to the student with a warm, supportive message that includes crisis resources (988 / Crisis Text Line). The assessment continues — Aless does not pause or break character. The student never sees any indication that a flag was created. Simultaneously, a flag is recorded on the Alerts & Wellness table under the appropriate priority tier. For Critical flags, all counselors and admins at the school receive an immediate email alert.

What are the three priority tiers on the Alerts & Wellness page?

Critical (red): Self-harm, threats of harm to others, or mental health crisis — triggers an immediate email and appears prominently on the dashboard. Needs Attention (orange): Emotional distress, bullying, substance abuse flags plus wellness scores below 40. Advisory (gold): Profanity, policy violations plus wellness scores 40–69. Each tier has different resolution requirements.

Can I send a student's profile directly to another counselor through the portal?

Yes — using Staff Messages. Open Messages in the sidebar, start a direct message or open a group channel, and click the Attach button in the compose bar. Search for the student and select them. The recipient will see an inline card with the student's name, grade, Clarity Score, and top cluster, and can click directly into the full student profile.

Who receives Critical safety alert emails?

All staff members associated with your school in pathfinder — counselors, school admins, and principals. The email includes the student's name, grade, flag type, and the exact message that triggered the flag, plus a link to the Alerts & Wellness page.

Can a family buy a single assessment without a school subscription?

Yes. Individuals can purchase a one-time $24.99 assessment at mypathfinderedu.com/#direct-pricing. They create an account (Google or email), complete payment through Stripe, then land on their own profile page where they can take the assessment and view past results. These direct-purchase users are fully separate from school rosters — their data never appears in any school's counselor portal. Direct results include a richer student-addressed view: Key Takeaways, your top clusters, suggested paths, recommended next moves, and a "How You Showed Up" engagement panel.

Can adults or college students take pathfinder, or is it only for high schoolers?

Direct purchasers pick a life stage before they start — In high school, In college, Professional, or Other. Aless adapts the conversation to that stage (coursework framing for HS/college, transferable-skills and pivot framing for professionals) and the results page swaps "Suggested Courses" for "Recommended Electives & Experiences" or "Recommended Next Moves" depending on what fits. School-rostered students always run as high school.

Do direct users get a discount on retakes?

Yes. Six months after a completed assessment, direct users start receiving retake invitation emails (at 6, 12, and 24 months) that include the evergreen Stripe promo code PATHFINDER-RETAKE-20 for 20% off. Each direct user gets at most one nudge per stage and can unsubscribe from retake reminders at any time. When they retake, the new session attaches to their existing student record so the dashboard surfaces a clarity-journey view comparing their assessments side-by-side.

What's the difference between the Starter and Growth plans?

Starter ($14/student/yr) includes unlimited career assessments, the counselor dashboard, magic link and access code login, Spanish language support, CCR compliance export, parent view links, IEP / 504 accommodations, and a signed DPA.

Growth ($18/student/yr) adds counselor-focused features: wellness signals and alerts, Aless customization (tone, focus, depth), BLS labor market data per suggested path, growth tracking and re-assessments, PDF profile downloads, Microsoft and Google SSO, class session / kiosk mode, live session monitor (proctor mode), custom completion messages, Clever and ClassLink roster sync, and priority support.

How do I set up SIS integration?

SIS integration is available on the District plan and is currently in demo preview. Go to Administration → Settings, scroll to the SIS Integration card, select your provider (PowerSchool or Infinite Campus), enter your API credentials, and click "Test Connection." Once connected, click "Sync Now" to import your student roster. Note: vendor partnership agreements are in progress — CSV import remains the recommended production method today.

Can I see data across all schools in my district?

Yes — if your school is on the District plan and linked to a district. The District Dashboard aggregates KPIs, school comparisons, and career cluster distributions across all schools. Year-over-Year reports also aggregate district-wide. Individual school counselors continue to see only their own school's data unless they have district-level access.

What data is in Year-over-Year reports?

Year-over-Year reports compare assessment terms side-by-side — e.g., Fall 2024 vs. Spring 2025. You see: number of students assessed, average clarity score with delta arrows, top career cluster per term, clarity trend bars, and a grade-level breakdown of clarity averages. The Cluster Shift section has its own independent start and end term selectors — pick any two terms to see how career interest distributions changed. The end term must be after the start term. You can select any combination of available terms for the main comparison and export the data to CSV.

How do I start a new school year?

School admins can start a new year from Administration → Settings. Click "Start New Year" in the School Year card to open a guided wizard. You'll review your current year, configure new dates and terms, set grade promotions for each student (promote, graduate, retain, transfer, or withdraw), and confirm. A notification banner will also appear near the end of your current school year as a reminder.

What happens to graduated students?

Graduated students are marked with a "graduated" status and removed from the default active roster view. Their historical assessment data, profiles, and counselor notes are fully preserved. You can view graduated students using the enrollment status filter on the Students page, or by switching to the past academic year in the sidebar.

Can I view data from a previous school year?

Yes. After completing at least one year rollover, click the year label in the sidebar (e.g., "2025–26") to open a dropdown of all academic years. Selecting a past year shows the roster, assessments, and reports for that year. A banner will indicate you are viewing archived data. You can switch back to the current year at any time.

Does pathfinder support summer terms?

Yes. Summer term is optional and can be enabled during the new year setup wizard. When enabled, assessments taken during the summer date range are bucketed separately in reports. Students remain enrolled in the same academic year during summer — no additional setup is needed.

Who is Aless on the marketing website?

Aless is pathfinder's AI guide — the icon in the bottom-right corner of the public website. Aless helps visitors learn about pathfinder, answers product questions, and can capture demo requests. All conversations are logged and reported to the admin team via Compass daily digests. Aless operates under strict guardrails and will not disclose internal information about architecture, business metrics, or proprietary methods.

Does pathfinder have session timeouts?

Yes. For FERPA compliance, portal sessions automatically expire after 30 minutes of inactivity. A warning appears 2 minutes before expiry with a "Stay Signed In" button. Student access-code sessions have the same 30-minute timeout. Admin console sessions timeout after 15 minutes. If a session expires mid-assessment, the student's progress is preserved and they can resume by re-entering their access code.

What happens after too many failed login attempts?

After 5 failed login attempts, the account is temporarily locked for 15 minutes. This applies to counselor/staff sign-in, direct user sign-in, and admin sign-in. The lockout protects accounts from unauthorized access attempts.
